How to Delete a Vendor in QuickBooks Online: Steps and Best Practices

Managing vendors effectively is crucial for maintaining accurate financial records in QuickBooks Online. Sometimes, you may need to remove a vendor from your list, either temporarily or permanently. This guide will walk you through the process of deleting a vendor, highlighting the differences between making a vendor inactive and performing a permanent deletion.
Steps to Delete a Vendor in QuickBooks Online
Deleting a vendor in QuickBooks Online requires careful consideration to maintain data integrity. Here’s how you can do it:
Step 1: Log In and Access Vendors Section
Open your QuickBooks Online account.
Click on the Expenses tab in the left-hand menu.
Select Vendors from the drop-down menu.
Step 2: Locate the Vendor to Delete
Scroll through the list or use the search bar to find the vendor you want to delete.
Step 3: Open the Vendor’s Profile
Click on the vendor’s name to open their details.
Step 4: Make the Vendor Inactive or Permanently Delete
QuickBooks Online allows you to make a vendor inactive instead of permanently deleting them. This option hides the vendor from active lists but preserves their transaction history.
Click on the Edit button (pencil icon) at the top right of the profile.
Scroll down and select Make Inactive.
A confirmation prompt will appear. Click on Yes to confirm.
Note: If you have no transactions associated with the vendor, you can choose to permanently delete them, but be aware that this will remove all historical data associated with that vendor.
Reactivated Vendors
If you need to reactivate a vendor that you previously made inactive, follow these steps:
Go to the Vendors list.
Select Filter to show inactive vendors.
Click on the vendor and then select Make Active.
